Located South-East of Melbourne, is a highly renowned group of Ophthalmologists, specialising in all general ophthalmology services. Whilst the practice is busy, the atmosphere is very pleasant and a happy place where you will enjoy your working days.

The current vacancy is very much focused on patient care and supporting the specialists during consulting sessions together with timely bookings of theatre and specialist procedural appointments. We are seeking a person who thrives to provide secretarial and reception support with the ability to multi-task but knowing you will be well supported by your team members.

Part of the role is to welcome and assist the patients to the centre as you ensure they are dealt with in a timely and professional manner, that the systems for medical appointments and patient information are maintained and that allocated reception and administrative duties are carried out efficiently and effectively as you work closely with the Practice Manager.

Days: 3 days per week
Wednesday and Thursday - Clayton
Friday - Ashburton
Hours: 8.30 am to 5.30 pm

Responsibilities include:

  • Patient invoicing and receipting - processing Medicare Online and DVA claims
  • Typing of letters
  • Carry out all liaison with patients (both face-to-face and on the telephone) in a prompt, friendly and professional manner, always exercising confidentiality and discretion.
  • Arrange appointments for patients.
  • Respond promptly and appropriately to all individuals presenting at reception.
  • Proactively monitor waiting times in reception and keep patients informed of delays
  • Process Medicare/DVA transactions and/or payments from patients according to the procedures of the Centre
  • Use of Shexie medical system or other specialist software
  • Ensure timely and accurate retrieval of material relating to the medical management of patients and assist with any other matters relating to materials and/or records as requested.
  • Arranging and checking of theatre list Hospital/theatre bookings via Eclipse
  • Attend to account queries as far as possible and refer to Practice Manager as appropriate.
  • Update any information on medical records as required.

Essential criteria:

  • Experience with specialist medical software preferred.
  • Strong patient focus with a caring and empathetic attitude.
  • Work well under pressure and multi-task efficiently
  • Ability to work well in a team.
