A well-established provider of family primary health seeks an experienced Practice Manager, to provide excellent support to a dedicated team of health professionals and administration staff, on a permanent part-time basis.

Therefore, they are seeking a high-quality Practice Manager to lead the Medical Administration team that provides support to the professional GPs and allied health team.
This role is offered on a permanent part-time basis – approximately 20 hours per week – days and hours to be discussed and negotiated at interview. This could include school hours 4 or 5 days per week, or you may prefer to work 3 longer days to cover the required hours each week.
The combination of responsibilities of this role includes knowledge of clinical practice, service management, and contemporary human resource principles, finance and staff supervision – details below.
The areas of responsibility will include:
- Human resources
- Basic finance and payroll duties, supported by accounting firm
- Managing the IT systems
- Maintenance of patient records, and monitoring of quality systems.
- Ability to lead and motivate staff
Team Management:
- Effective management and achievement of business outcomes.
- Establish, monitor, and manage work plans for members of the team.
- Manage recruitment and selection of administration staff
- Lead the team with a culture of service excellence.
- Provision of support and leadership to all medical administrative staff
- Monitor, coach, support, motivate staff and develop relationships
- Develop and implement staff rosters and ensure adequate coverage of administration.
- Ensure all staff are aware of their requirements in respect of patient confidentiality
Operational Management:
- Lead the day-to-day administrative services.
- Support sound decision-making that ensures administrative services meet compliance.
- Marketing and promotion of the practice
- Manage the administrative workload, maximising patient flow.
- Ensure efficient and effective use of resources is kept within the clinic budget.
- Coordinate administrative services to maximise patient satisfaction.
- Ensure efficient diary management for practitioners and other clinic services.
- Ensure all patient billings are up to date. Balancing accounts and banking.
- Effective debtor management and accurate financial record keeping.
- Liaise with Medicare, NDIS, health insurers, DVA etc.
- Ensure a secure medical record management system that provides data integrity, accuracy, and patient confidentiality.
- Ensure Pracsoft software is used appropriately and meets all privacy and legislative requirements in access, storage, and retrieval regarding medical record management.
- Ensure the Clinic environment is always professional and well presented.
- Maintain positive and professional relationships with all stakeholders internal and external
Accreditation, Risk and Compliance:
- Support the implementation of accreditation and staff training.
- Input into the development of procedures to support the administration team.
- Ensure compliance with administrative processes and systems across the Clinic.
- Monitor and identify clinical and/or financial risks at the earliest possible time.
- Ensure all administration staff have knowledge of relevant compliance and legislation requirements and incorporate them into their daily practice.
Essential Criteria:
- Significant experience in management of medical administration and health care environment
- Understanding of general practice policies and procedures
- Knowledge of Medicare, NDIS, Private Health Insurance, and other health funding frameworks.
- Excellent written and verbal communication skills
- Ability to use Pracsoft medical software (or similar) and Microsoft Office suite programs.
- Proven experience in managing staff, work allocation and meeting deadlines
- Ability to undertake staff performance appraisals as required
- Strong team leader skills
